When you reach out to us or start a project, we'll ask for the basics:

  • Project info: Address, property details, your vision for the space. Can't design without knowing what you're working with, right?
  • Communication records: Emails, meeting notes, sketches you share. We keep these so we remember what you told us three months ago.
  • Financial information: Billing details when we're handling invoices. Gotta keep the lights on.
  • Website data: Standard stuff like IP addresses, browser type, pages you visit. Helps us make the site work better.

We're not grabbing anything sneaky in the background. If we need something, we'll ask you directly.

Here's where your info goes:

  • Project delivery: Designing your space, coordinating with contractors, managing timelines. The actual work you hired us for.
  • Communication: Updates, answering your questions, scheduling site visits. Keeping you in the loop.
  • Legal compliance: Building permits, contracts, insurance stuff. The boring but necessary paperwork.
  • Service improvement: Understanding what worked and what didn't so we can do better next time.
  • Marketing (with permission): Occasional updates about our work or sustainable design tips. You can opt out anytime – we won't be offended.

We're not selling your data to advertisers or using it for anything weird. It's all about making your project happen.

We keep things pretty tight, but sometimes we need to share with:

  • Project partners: Contractors, engineers, consultants working on your build. They only get what's relevant to their part.
  • Legal folks: Municipal authorities for permits, lawyers if contracts are involved. Standard construction stuff.
  • Service providers: Our accounting software, email platform, cloud storage. They're bound by their own privacy policies and we've vetted them.
  • Professional advisors: Our insurance company, legal counsel if needed. Rare, but it happens.

We'll never sell your information to third parties. That's not how we roll. If someone wants your data, they go through us first, and we'll let you know.

Yeah, we use cookies – but not the chocolate chip kind. Here's what's happening:

  • Active projects: Everything stays until the project wraps up and final payments are settled.
  • Completed projects: We keep project files for 7 years minimum. That's standard practice in case warranty issues come up or you want to renovate again.
  • Financial records: Tax laws require us to keep these for 7 years. Not our rule, blame the CRA.
  • Marketing contacts: If you've opted in, we'll keep you on the list until you ask us to stop.
  • Portfolio materials: If we've used your project in our portfolio (with permission), those photos might stick around longer as examples of our work.

After the retention period, we securely delete or destroy the information. No point keeping stuff we don't need.

It's your data, so you've got some say in what happens with it:

  • Access: Want to see what info we have on you? Just ask. We'll show you what's in your file.
  • Corrections: Spot something wrong? Let us know and we'll fix it.
  • Deletion: Want us to delete your info? We can do that, though we might need to keep some stuff for legal reasons.
  • Data portability: Need your project files in a different format? We can work with that.
  • Opt-out: Don't want marketing emails? Click unsubscribe or tell us directly.
  • Complaints: If you think we've messed up with your privacy, you can file a complaint with the Privacy Commissioner of Canada.

We're based in Vancouver, BC, and we follow Canadian privacy laws – specifically PIPEDA (Personal Information Protection and Electronic Documents Act). That's the federal standard for how businesses handle personal info.

Most of our data stays in Canada, but some of our tools (like cloud storage or email platforms) might have servers in the US or elsewhere. When that happens, your data's subject to the laws of those countries. We only work with providers who meet reasonable privacy standards.

If you're outside Canada and working with us, your information will be handled according to Canadian privacy laws, which are pretty solid by international standards.

Sometimes we'll link to other websites – maybe a supplier we like, a building product manufacturer, or sustainable design resources. Once you click through to another site, you're on their turf and their privacy policy applies.

We try to only link to reputable sites, but we can't control what they do with your data. Always worth checking their privacy policies if you're concerned.
